California Apostille by Mail

Wherever you live, you don't need to come to Costa Mesa. Mail us your document and we handle the rest.

Moved out of state? Living abroad? Your company is overseas? If your document was issued or notarized in California, we can apostille it without you ever visiting our office. You send it, we submit it, and we ship it back to you, or straight to the country that needs it.

How it works

  1. 1
Email us a scan. Send a photo or scan of your document to info@costamesaapostille.com and tell us which country it's for. We check it for free and confirm the price, timeline and shipping.
  2. 2
Pay securely online. We email you a secure payment link. Payment is made before we submit your document to the state.
  3. 3
Mail us the original. Send it by a trackable service (FedEx, UPS or USPS) to Costa Mesa Apostille, 2706 Harbor Blvd., Ste. 206, Costa Mesa, CA 92626. Email us the tracking number so we can watch for your package. Prefer not to arrange shipping? We can send you a prepaid FedEx Priority Overnight label for $45.
  4. 4
We submit it. We take it to the California Secretary of State (or the right federal or state office), and arrange embassy legalization if your country needs it.
  5. 5
We ship it back. By FedEx Priority Overnight within the U.S., or by DHL or FedEx straight to you abroad, or with your own prepaid return label.

Before you mail anything

  • Birth, marriage and death certificates must be certified copies. You, or a close family member, need to order them from the county or the state. We can't order vital records for you. A recently issued copy avoids most problems.
  • Anything that needs notarizing must be notarized before you mail it. A notary can only notarize when the signer is present, so we can't notarize documents that arrive by mail. That includes powers of attorney, affidavits and copy certifications.
  • Diplomas and transcripts need to be prepared first. See diploma & transcript apostille for the ways they can be prepared. You choose the route; the office receiving your document decides what it accepts.
  • Include a note with your name, email, phone number and the country the document is for.
  • Use a trackable service and email us the tracking number.

Documents we apostille by mail

Living abroad?

Need a California document for a visa, residency, a marriage or a new job overseas? We can ship the finished document straight to you, or to the office that needs it, by DHL or FedEx. If your destination country requires embassy legalization instead of an apostille, we arrange that too. Use the country checker to see which one your country needs.

Common questions

Do I need to visit your office?

No. You can do everything by email and mail: send a scan, pay online, mail the original and we ship it back.

When do I pay?

After we've reviewed your scan for free, we email you a secure online payment link. Payment is made before we submit your document to the state.

How long does it take?

California apostilles take 3 business days from when we receive your document, the same as walk-in service. Rush (2 business days) is available by arrangement. Federal documents such as FBI background checks take 12–14 business days. Shipping time is extra.

How much is return shipping?

FedEx Priority Overnight within the U.S. is $45 each way: $45 for a prepaid label to send your document to us (optional) and $45 to ship it back. International shipping is by DHL or FedEx, priced by destination country; we quote it after your scan review. You can also include your own prepaid return label.

Can you notarize my document by mail?

No. A notary can only notarize when the signer is present, so anything that needs notarizing must be notarized before you mail it to us.

Send us a scan. We'll check it for free.

We usually reply within 30 minutes during office hours, with the exact price, steps, timeline and shipping.
