Why diplomas need an extra step
The California Secretary of State can only apostille a signature it has on file, such as a notary's. Most school officials' signatures aren't on file, so a diploma or transcript is notarized first.
How it can be prepared
There's more than one way to prepare a diploma or transcript for an apostille. The office receiving it decides which it accepts, so ask them first, then tell us which you need:
- A copy certification: you sign, in front of our notary, that the copy is true and complete. It's then treated as a California document and gets a California apostille, whichever state your school is in.
- A statement about your original: you sign it in front of our notary and it's attached to the original. It gets a California apostille.
- Certified by your school: a copy notarized or certified by your registrar is apostilled by the state where that was done.
We prepare it the way you choose. We can't advise which one the receiving office will accept, so check with them before you order.
Signing happens in person, at our office or with our mobile notary ($85). We can't notarize a document unless the signer is present.
Before you send anything
- Check what the office receiving it accepts. Some want the original, some accept a certified copy.
- The apostille is permanently attached to the document. To keep your original diploma untouched, use a copy or order a replacement from your school.
- Sending it by mail or courier? It must be notarized before you send it. Notarized in another state? We can still get it apostilled, from the state where it was notarized. Send us a scan for a quote. More on documents from other states →
